FEDORA is looking for a new team member to join its international team as Executive & Operations Assistant. This position combines direct support to the Director with broader administrative and coordination support for the whole team.
The Executive and Operations Assistant will contribute to the smooth day-to-day functioning of the organisation by helping manage schedules, meetings, internal coordination, office organisation, and team logistics. The role requires strong organisational skills, excellent attention to detail, discretion, and a proactive attitude in a dynamic cultural environment.
Responsibilities include:
Executive assistance to the Director
- Manage the Director’s agenda, including scheduling meetings, appointments, calls, and travel arrangements.
- Handle and draft correspondence, emails, and follow-up communications on behalf of the Director when needed.
- Support the follow-up of priorities, deadlines, and action points linked to the Director’s work.
Team support and office coordination
- Provide administrative support to the whole team in the organisation of meetings, schedules, and internal coordination.
- Coordinate logistics for internal and external meetings, events, and team activities.
- Prepare agendas, briefing materials, presentations, and background documents for meetings and appointments.
- Support office management, including supplies, equipment, document organisation, and the maintenance of an efficient working environment.
- Assist with preparing shared documents, templates, minutes, and presentations for internal use.
- Manage the team travel arrangements.
Communication and coordination
- Facilitate the circulation of information across the team and ensure appropriate follow-up on key actions.
- Support coordination across departments and contribute to the smooth implementation of cross-functional tasks and projects.
Research, reporting, and events
- Conduct background research, gather information, and help prepare reports to support decision-making.
- Contribute to the preparation and organisation of events, including venue coordination, guest follow-up, and material preparation.
- Assist with specific administrative or coordination tasks according to the needs of the Director and the team.
Profile description:
Education and work experience
- Currently enrolled in higher education and seeking an “alternance” placement for 1 or 2 years or looking for an end-of-studies internship
- Studies in administration, management, cultural management, project management, communication, public administration, or related fields are particularly relevant.
- Previous experience in administration, coordination, office support, or event organisation is an asset.
Required skills
- Excellent organisational, planning, and time-management skills.
- Strong written and verbal communication skills.
- Strong sense of responsibility, discretion, and reliability.
- Ability to manage multiple priorities with accuracy and attention to detail.
- Proactive and independent working style, with a strong team spirit.
- Good command of Microsoft Office applications, especially Word, PowerPoint, and Excel.
Language skills
- Fluent written and spoken French. (native or bilingual)
- Fluent written and spoken English.
- Additional languages are an advantage.
